Schedule interviews with candidates
Propose times, let the candidate shortlist, confirm the slot. Interview scheduling runs from the hiring pipeline, not the calendar.
Interviews run from the pipeline
Not from the calendar page
Interviewing a candidate is a different thing from sharing a booking link. It happens inside the hiring pipeline, on a job's kanban board, and not from the Calendar page. If you are hunting for a "schedule interview" button on the calendar, you will not find one.
The candidate does not need an account. They get an email with a link, open it, and pick times from there.
Set the stage up
On a job's kanban board, configure the stage you interview at and add a requirement of type Interview Scheduling. That stage then offers two modes:
- I'll propose specific times: the manual flow. You pick the slots yourself for each candidate. This is what the rest of this article walks through.
- Candidate picks from my availability: the automatic flow. Slots are built from the working hours of whoever is assigned to the applicant, and the invite goes out on its own.
Auto mode leans entirely on working hours, so save yours before you turn it on.
Set your availabilityThe manual flow, step by step
The candidate reaches the stage. On their card you see Propose Interview Times.
Pick times on the calendar and add any other interviewers who should be in the room.
The candidate gets an email with a link. They open it without signing in and shortlist up to 3 of your times.
You now see Confirm Interview. Confirm the final time, and optionally add a meeting link, a location and notes.
The interview is confirmed, a calendar event is created, and a confirmation email goes out.
Reminders, rescheduling and cancelling
Everyone involved gets one reminder, roughly 24 hours before the interview. It is not configurable, and there is no ladder of several reminders at different intervals.
Rescheduling and cancelling both need a reason, and the field is required. Rescheduling sends the candidate back to pick a new time. Cancelling notifies them.
What the Calendar page is for
Calendar shows all your events in Month, Week, Day and Agenda views. You can create a standalone event here with New Event and give it a type: Personal, Interview, Meeting, Call, Out of Office or Other.
Confirmed candidate interviews land here on their own. You do not create them by hand from this page, because a hand-made event is not attached to the applicant and will not drive the stage.
You are set
Confirmed interviews sit on your calendar, count as busy time, and keep other people from booking over them. Keep your working hours current so auto mode and your booking links stay honest.
