Where a pipeline lives

One board per job

Every job has its own board. Open Company Jobs, pick a job, and you land on its pipeline: one column per stage, one card per candidate. Candidates move left to right as you work through them.

Working the board is part of every plan. Changing its structure, which means adding, renaming, reordering or deleting stages, is the Custom Pipelines feature. If your plan does not include it, you can still drag candidates between the stages you already have.

Two different things happen on this screen Moving a candidate is day to day work. Changing a stage is configuration, and it applies to every candidate on that job, so it is worth getting the shape right before you start reviewing.

Add, rename and reorder stages

Press Add Stage at the right end of the board to create a column. Drag a column sideways to reorder it. Click a stage to open its configuration, where you can rename it and pick a colour from the swatch beside the name.

The same panel carries three settings that change how the stage behaves:

  • SLA (hours): how long a candidate should sit here before the stage counts as overdue. The minimum is 1 hour, and leaving it empty means no limit. An automation can fire the moment it is breached.
  • Visible to candidate: whether the candidate sees this stage at all when they track their application. Off by default, so your internal steps stay internal.
  • Candidate-facing name: appears once Visible to candidate is on, and takes up to 100 characters. It is an alternative label the candidate sees instead of your internal one: if a stage is called Weak CV filtering on your board, the candidate can see Application review.

Stages you cannot delete

Two rules protect the board. A stage marked SYSTEM has no delete option, because the pipeline depends on it. A stage holding candidates cannot be deleted either, and the footer of the panel tells you how many are currently in it. Move them to another stage first, then delete it.

A requirement for the candidate before the next stage

Open a stage, go to the Requirements tab and press Add Requirement. A requirement is something the candidate has to do while they sit in this stage. Three types are available:

  • Document Upload: request files such as a resume, cover letter or portfolio. You choose which file types you will accept.
  • Questions: attach a questionnaire for the candidate to complete.
  • Interview Scheduling: schedule an interview with the candidate.

Each requirement gets a title and two switches. Required marks it as something that must be completed. Blocks Advancement is the stricter one: with it on, the candidate cannot move to the next stage until the requirement is done.

Candidates who applied without an account are still asked. They submit through a magic-link email rather than signing in, and you can resend a fresh link if the original was lost.

Team approval before the next stage

The Approvals tab answers one question: who has to say yes before a candidate can leave this stage. Turn on Require Approval and the rest of the panel appears.

  • Approval Mode: Any Approver means one yes is enough. All Approvers means every person you assign has to approve.
  • Minimum Approvers Required: how many approvals the decision needs before it passes.
  • Approvers: the team members who can decide. Leave the list empty and any team member is allowed to approve.

Press Save Approval Config when you are done. Candidates who reach the stage now wait on a decision, and every approval carries a trail of who decided and when.

Automatic actions on a stage

The Automations tab is a list of rules. Each rule pairs a trigger with an action: when the trigger you picked happens, WizzHire carries out the action for you. There is no limit on how many rules a stage can hold.

Six triggers are available: When candidate enters stage, When candidate leaves stage, When all requirements complete, After time in stage (you set the number of hours), When approval decision made, and When SLA is breached, which uses the SLA you set on the stage itself.

Four actions can run: Notify team, Move to stage (you pick the destination), Reject candidate, and Run AI screening.

What changes once the pipeline is set up

A configured pipeline changes what your team sees on the board. Outstanding requirements show on a candidate's card, approvals hold candidates at a stage until someone decides, and automations do the repetitive part without anyone asking.

Configuration belongs to one job. A pipeline you build on one posting does not follow to the next one, so if you hire the same role repeatedly, save the shape you like as a template and start from it next time.
